Summary: besides the polls themselves, we keep a log of the requests made to the tool (for example the poll title, time slots or names sent) for 90 days, to fix errors and improve the tool. The log is not linked to your name, account or IP address.
What we store
- Polls: the title, time zone, candidate time slots, the names of required people you enter, and the chosen time.
- Responses: the display name each voter types, the slots they mark as free, their browser's time zone name (for example America/Los_Angeles, used to show the chosen time in each voter's local time), plus a random voter code kept in that voter's browser so they can edit their answer.
- Organizer identifier: when you use Find a Time in ChatGPT, OpenAI sends us an anonymized user identifier. We store it with your polls so only you can list, finalize or delete them. It does not reveal your name or email.
- Request log: the input of each tool call (for example the poll title, time slots, names or poll link that ChatGPT sends) is written to a log with the minute, the tool name, whether it worked and which assistant made the call. It is kept for 90 days, also after a poll is deleted, and used only to find and fix errors and improve the tool. Text longer than 200 characters is logged only as its length. It is not linked to your name, account or IP address, and it is never sold or shared. Legal basis: Art. 6(1)(f) GDPR; our legitimate interest is to find and fix errors.
- Usage statistics: for each request we record the hour, which feature was used, whether it worked, which assistant made the call (Claude, ChatGPT or other, from the request's technical headers, plus the app name it declares), the country and language ChatGPT reports, and a one-way hash of the anonymized identifier. We use this only to count usage and fix problems, and delete it after 90 days. Legal basis: Art. 6(1)(f) GDPR; our legitimate interest is to run the service, count usage and fix errors.
What we do not collect
No email addresses, phone numbers, accounts, contacts, calendars, chat history, cookies or advertising identifiers. We do not log IP addresses or user agents; a short-lived in-memory counter per IP address limits abuse and is never written to disk.
Who can see a poll
Anyone with a poll's share link can see its title, time slots, voters' display names, their availability and, once a time is chosen, the time zones voters answered from. Share the link only with people you want to invite.
How long we keep data
Each poll and all its responses are deleted automatically 30 days after the poll's last time slot. Request log entries are deleted after 90 days. The organizer can delete a poll at any time by asking ChatGPT or using the private manage link.
Processors and sharing
Data is stored with Amazon Web Services (Frankfurt, EU). We do not sell or share data, and we do not use it to train models.
Your rights
You can ask us to access, correct or delete data by emailing [email protected] with the poll link. EU/UK users may also complain to their data protection authority.
